Voicemail

Voicemail – VMS is a centralized system of stored telephone messages that can be retrieved later. In big organizations, VMS allow each member of staff who is on the system to access personal mailbox in which others may leave messages and to leave messages also for colleagues.

Advantages of Voicemail

–          Cost reduction of secretaries taking messages

–          Personalisation and privacy the individual will feel having his/her messages unheard

–          Accessibility by staffs in the organization

–          Avoidance of telephone tag –  i.e. chasing individuals just to give them messages

–          Ease of use

–          Information circulation

Disadvantages of Voicemail

–          Every member of the organization have to be on the system or else it will be useless

–          It only works if members access their mailboxes

–          In large organizations, the system can be abuse by leaving long messages

–          It serve as  an excuse for avoiding calls for some people
